The management system is a framework consisting of various procedures and processes that helps an organization in managing as well as fulfilling or carrying out all the tasks in an efficient way to meet the objectives. There are several types of management systems like: employee management system, information system, hr management system, configuration management system, flight management system, distribution management system etc. Each system has a specific role to play in their domain. There are several advantages of using such systems. It carries out all the work in the organization in a much easier and rapid way. It saves a lot of time of the people working in the organizations.

Employee management system: The employees’ play a very vital role in an organization. In fact they are the main roots of a company achieving great heights. They play an essential role in the success of a company. Organization which are either small or big, use these systems to utilize and as well as manage the workforce to a maximum extent. Outsourcing the employee resources is getting very popular these days. The HR gets a lot of benefit because most of the work will be done by the software itself. All a HR has to do is to enter in the necessary details. It is also very easy to access, store and retrieve the data. The data stored will be regarding the payroll, employee details, job descriptions, employment laws etc. You need to pick up the employee system in such a way that it is user-friendly and does all the tasks in an efficient way.if you want to carry the talent management system along with the employee management we suggest you to go through our respective post.

Configuration management system: This kind of system is used by the manufacturing industries. It is applied on areas like: designing, development, sales. This system makes sure that there is a proper coordination between the teams and makes sure that each step is analyzed in a proper way. It also checks if the process of maintenance and deployment is done properly.  The system involves a set of objectives which are as follows:

  • It provides a connection between different teams in the organization who are working under a specific project. It helps in managing all the work properly.
  • It offers in controlling the system. The management system should be able to run on any kind of platform and must have the ability to get it accessed from anywhere.
  • It helps in collecting and storing all the information which are associated with a project. It provides a clear understanding on the things that are related to a project. It reduces all the minor errors which humans make and gives an easy and fast access to the files.
  • It helps you track the progress and status of the project. It reduces cost, effort and energy. It is faster and saves a lot of time in producing the output. It also helps in increasing the profits of an organization.

One can run a business efficiently with the help of a management system. Without this, it becomes tedious to handle the jobs of an organization. It helps in carrying out all the tasks efficiently in less time. Today each and every domain has a management system to be worked for, some of which are: vendor management system, tuition management system, pavement management system etc. A note on these systems is as follows:

Vendor management system: The vendors play a very vital role in developing the business to great heights. With the help of this system, you can strengthen as well as maintain a good relationship with them. When you choose a vendor, you need to look into the entire value of the organization first and determine if the vendor can help in the growth of the company. In general a vendor system must be able to perform the following functions: Vendor registration, approval process of vendors, risk management, track visibility, performance tracking standard invoicing and billing and facilitate value-adds as well as promotions. With these functionalities, the software will be able to establish a good communication between the vendors and organization. It must also have additional features like:

  • Authorization techniques
  • User-friendly interface
  • Reporting capabilities
  • Rapid access time
  • Robust support
  • Flexible tools
  • Ease of use
  • Security

Only if the vendor management is flexible, it will help to increase the capabilities of an organization and will save a lot of time to manage the data. It will help the organization to have good relationships with their vendors and develop the organization’s growth. Before you decide to pick up such systems, you need to make a complete research on the various kinds of software along with their features. You can make a comparison of various systems as to know the best one.

Tuition management system: The tuition business has grown to a greater extent these days. As this business grows, it becomes little hard to maintain the lessons, records of the students attending your tuitions and this where the tuition systems comes to help. It helps in keeping all the things well organized so that the details can be easily accessed and retrieved at any time. Before you decide to use the system, you need to look if it possesses the following things:

  • Web based system: It helps in eliminating the periodic software update or any other hardware complications. It can be accessed from anywhere at any point of time with any virtual device.

  • Automatic invoices and billing: This will help the tutors in billing process automatically and sends it to the specific clients. This will save a lot of time and the work can finished in few minutes. The billing system must be flexible. The sessions can be charged based on the hours or it can be a flat cost. The invoice should include the logo and also the details as to how it has to be paid.
  • Detailed reports: The system must also involve deep reports associated with the income of a company. There must be statements explaining in detail about the expenses as well as earnings. It must help the tutor in balancing the students work, maintain their details and payments.
  • Automatic notifications: It must automatically send a remainder to the students regarding the lessons, schedule and timings through mail or a message.

Pavement management system: Accidents happen every day and the growth of the road accidents tend to increase. This system can be very useful in roads and lessens the chances of accidents. It helps in maintaining the roadways and makes sure that they are in well condition. In general, this system helps in the following ways:

  • It checks for the good and bad pavements. It maintains the roads properly.
  • It assigns ratings for the road segments depending upon the traffic volumes, road class, community demand, the way the road functions etc.

The management systems help a business in lot of ways. It saves cost, time and improves the speed of the work. You can see a lot of management systems these days. They vary from each domain and the type of business. There is restaurant management system, talent management system, total workforce management system and many more which has enhanced features to develop and manage the business. A detailed explanation of the above mentioned management systems are as follows:

talent management system

Restaurant management system: This system includes of a set of functions which are: front-desk operations, kitchen operations, management operations, warehouse operations etc. It provides the necessary tools required by the departments of a restaurant. For the front desk cashier or officer operations, the point of sale (POS) is the main thing to be concentrated on. The POS is a physical place where the products are sold to the customers. The transactions or the billing are done with the help of a computer. There might be huge sale in the restaurants and hence there will be a bigger volume of credit cards, cash and transactions flowing every day. That is why a POS becomes very essential. The POS solution helps in making the transactions very secured for the business as well as the customers. This system will help the restaurant in inventory tracking, reporting, customer information, services, product pricing, staff management etc. The most essential thing for an owner is to offer the customers with quality products and best services. The restaurant software helps the business in carrying out the daily activities very efficiently. The software can be used for coffee shop, bar, grille, country clubs, cafeteria, steak house etc. It suits well for all the food industries and helps in the business development. There is something also called as the “integrated POS”, which supports the touch screens things like: Pocket PC, hand held devices etc. It has wireless features which helps the staff to take customer orders very efficiently. Instead of wasting papers and writing down all the stuffs can be time consuming. You can use this concept instead to satisfy the customers.

Talent management system: It is defined as the process of nurturing, retaining and developing people with their aptitude and abilities in order to meet the business goals. If this system is used in an organization, it makes a lot of benefits. The human resource team should be able to analyze the process and should integrate the below things:

  • Recruitment: Must possess the right people in the company to improve the growth. The people must be well skilled.
  • Retention: This involves the process of rewarding the existing employees and motivating them to do better work.
  • Employee development: This is the process of giving the employees with regular training.
  • Leadership qualities: It includes programs for the employees who possess high potential and skills.
  • Performance management: This involves the process of looking after the performance of the employee of an organization and giving them necessary feedback.

Total workforce management system: This system contains a complete set of activities which are necessary to control, maintain and manage the production workforce of a company. In general it can be defined as the process of managing the requirements or needs of employees which are related to work like:

  • Payrolls
  • HR administration
  • Workforce tracking
  • Emergency assistance
  • Overtime management
  • Attendance management
  • Performance management

The workforce management is meant to assign the right kind of job to a right individual at a right time. This work is done by the HR team. It involves works like: staff scheduling, work forecasting, time management, financial planning, budget planning, monitoring, research and analyzing the overall process in the work environment.

Flight, cash and hr management systems

The management system plays a very vital role in every domain. The management can be categorized into different types like: flight management system, cash management system, hr management system, management information systems etc. Each and every system helps the people in carrying out the process very easily and that is why they are built. They make the users comfortable with the way the work process is carried out. The following are the different types of management systems and their explanations:

Flight management system:

cash management system

These kinds of systems are very helpful; for the pilots and they help to check a flight’s speed control, plan, navigation control etc. It can be used by every aircraft and without this; a pilot will not be able to do anything. The most important parts of the system are PFD, EICAS, MCP, ND, FMS/CDU  etc. The PFD (Primary Flight Display) has altitude indicators, air speed control systems etc. It acts as a great tool for controlling the speed, altitude, heading etc. The MCP (Mode Control Panel) helps in controlling the speed, heading, vertical speed, altitude, vertical and lateral navigations etc. The ND (Navigation Display) helps a pilot in displaying the location with the help of a map, wind speed, wind direction etc.

Cash management system: This system helps you in achieving great profits. One has to know the strategies of running a business in a proper way. This system acts as a fuel in “asset vehicle” and helps you to track the lost sales, bank charges, late payments, business growth etc. There are 6 stages involved in this system which are as follows:

  • Cash generation: This generally includes the cash generating processes. We need to benchmark the profits.
  • Cash accountancy: This stage means the “ascertaining sales”. It involves services to be exchanged with the help of cash.
  • Cash Expenditure: This helps to finance business or project operations.
  • Cash Receipts: This is the stage which helps to lessen the debt that is owed on us. It will help to systemize the activity and lessens the time.
  • Managing debtors: This stage helps in managing all the debts. If this is maintained properly, then one can have good profits.
  • Cash retention or reinvestment: This stage will help the business in carrying out the plans effectively. When there is a lack of proper plan made by the business, then there would be a lack of proper reinvestment or retention.

HR management system: This system helps a HR in a lot of ways. It carries out all the day to day activities efficiently with the help of technology. There would be heavy workloads on the HR each day and this can be of great help. It helps in managing the process of recruitment, appraisal, incentives, evaluation, payroll etc. Generally these things are all paper based but with such sometimes today, it can be very useful and lessens the time. This piece of software is very useful for small as well as large organizations in managing the employee database, salary details, employee skills, records, confidential files etc. It makes the HR to work in a very easy way. The software developers have created different modules for payroll, recruitment, attendance, work timings, appraisal, resume managing etc in order to make it user friendly. Each module functions in a unique way and finishes the task in less time. The only process which an HR must do is to collect the data from employees regarding the work time, attendance, performance, day to day work etc and fill it in the different modules. The rest of the things will be evaluated by the software. This saves a lot of time of a hr and enhances speed in the work.

Management information systems

The information systems have grown to great extent these days. It is impossible to think about a business without the management systems. There are different categories of information systems like: management information systems, client management system, retail management system etc. You might be wondering as to – “what is management information systems”. Well the answer behind – “what is management information systems” is as follows. The management information systems or MIS are those which help in managing the information of an organization in a most efficient way. It also provides the people with information related to the decision making process and organizational operations. It mainly concentrates on three things which are:

  • People
  • Information
  • Technology

There are several advantages of using Management Information Systems which are as follows:

  • It saves a lot of time.
  • The cost of labor is reduced to a greater extent.
  • It gives you efficient and easy decision making.
  • It helps in managing and analyzing the everyday activities.
  • It provides an efficient coordination among the different departments.
  • It provides easy and efficient access to the relevant data as well as documents.
  • The business or the company will be able to identify their strengths and weakness with the help of employees’ performance, revenue reports etc.

Apart from advantages, there are even disadvantages too, which are as follows:

  • It reduces the man power in the organizations.
  • The information that is complex will not be summarized effectively.
  • The performance levels of the employees might not be 100% right.
  • In order to run an enterprise, rich data is required and MIS cannot handle these data efficiently.
  • When there is a power failure, the data which are very essential might be lost and hence it needs regular back up.

There are 4 types on management information systems which are as follows:

Transaction Processing Systems: These types of management systems are developed in order to manage all the transactions and are widely used by many popular banks in order to track down all the accounts of the customers. Even super markets use them to know about the status of sales and stock. It also helps the managers to manage all the essential things like: Billing, reports, payments, payroll etc.

Decision support systems: These kinds of systems help the managers in making decisions and it comprises three basic components which are:

ü  DBMS: Database Management System which helps you in storing a huge amount of data (rows and columns) associated to the business so that they can be easily accessed by the user.

ü  MBMS: Model Based Management System which helps in transforming all the stored data in to information which then can be very helpful in making decisions.

ü  DGMS: Dialogue Generation and management System helps the managers who are basically out of computer knowledge. Hence they require a friendly interface in order to build their capabilities. With the help of DGMS, they can help themselves in a lot of ways.

Operation Information Systems: These kinds of systems help to collect the data from the transaction processing systems and help the managers to keep a track on the inventory, performance, sales etc.

Artificial Intelligence and Expert systems: These kinds of systems take the help of human experts to make decisions and are flexible in solving complex problems in an easier way.

Apart from the MIS, the client management system will help a business to have good relationships with the customers and retail management system helps to increase the profits of a business. It helps in proper functioning of the inventory control, barcode scanning, payroll, shop management, ecommerce, follow- up, customer tracking etc.

Distributed database management system

You might be wondering what is database management system. Well the answer to “what is database management system” is as follows – The Database Management System is generally known as DBMS which is the software designed to manage the databases. It includes a set of complex programs which helps in controlling the organization, management, storing, accessing and retrieving the data in an efficient way. A Database Management System involves the following things:

  • Database query language: This is used to interrogate and interact with the database. It analyzes the data and helps in updating it to the users. It provides a good security to the database.
  • Transaction mechanism: It fulfills the concept of ACID properties (Atomicity, Consistency, Isolation and Durability) and makes sure that it also fills the concept of data integrity.
  • Modeling language: It defines the logical plan of every database which is hosted in a DBMS. It comprises of various models but the most popularly one is the ad-hoc which is embedded in the SQL.
  • Data structures: This helps to tackle the huge data which is stored in the devices.

what is database management system

The following are the different advantages of using DBMS:

  • It enhances data integrity.
  • It has improved security features.
  • It is application data independence.
  • It is flexible and there is enhanced access to data.
  • It reduces the complexity level in an organization.
  • It reduces data inconsistency and data redundancy.
  • It reduces the costs which are carried out in developing applications and maintenance.

Some of the best examples of DBMS are: Oracle, Microsoft access, DB2, Informix, Sybase Adaptive Server Enterprise, MySQL, Firebird, Microsoft SQL server etc. There is something called as Distributed Database Management System (DDBMS). The Distributed Database Management System is a set of programs which is used to manage the databases that are stored in multiple computers via a network. The DDBMS can be generally classified into 2 different types which are:

  • Homogeneous DDBMS: The homogeneous DDBMS helps in processing the user’s requests in an efficient way. It appears to the users as single system. It is very easy to manage and design. But the condition involved in this is that, the OS, database applications and the data structures used at every location should be either compatible or same.
  • Heterogeneous DDBMS: The heterogeneous DDBMS uses different plan and software which becomes a major issue in transaction as well as query processing. The sites might not be aware and hence it will provide limited facilities. The nodes can comprise of different software as well as hardware. Even the data structures need not be same and compatible. There can be various OS, data models, data applications and computers used in different locations. For instance, one location can have the advanced relational database technology whereas the other location have can store the data using certain conventional files. Similarly a location can have Windows NT OS while the other location can possess UNIX. These kinds of systems are generally used when the individual sites make use of their own software and hardware. The users should be able to create requests with the help of the database language. If suppose hardware is dissimilar, then a translation is direct in which the word lengths and computer codes are changed.

A DDBMS has various characteristics like:

  • All the sites will be interconnected
  • It involves replication of fragments
  • It helps in collecting the logically related data
  • Each and every data is controlled with the help of DBMS

The DDBMS helps in keeping the data secured and keeps track on all the data and hence it is very useful to use a database management system.

Access Database Design Templates

Microsoft is one of the best reputed companies in the world known for its software, Operating systems, mobiles, phone applications, database etc. Microsoft’s access database design has many features in it. You can learn a lot of new things from access database examples and with your own creativity, you can do amazing things out of access database templates. The Microsoft’s access database design is one of the best tool for creating the access reports and tables. The following are the steps associated with the database designs in access:

  • The First and foremost thing to do is to identify the main core involved in a process. Identify the key requirements. The key procedure involved in a product development is maintaining the levels of the stock, pricing and as well as tracking the status.
  • Then you will have to determine the kind of reports that you will want them to be. Check through different designs and make sure they meet the client requirements. You need to plan with different requirements along with the list of stock prices, current levels of stock etc. Even if a plan fails to impress the clients, you can move on with the other one.
  • You can go through different access database examples in order to get an idea of how things work. You need to split the work into small modules so that you can do the work very easily. For instance, the stock system perhaps consists of 3 to 4 tables like: products, tracking down the purchase products, stock levels etc.
  • You will then have to list down all the necessary fields which are required for the tables and then add a common field which has the ability to connect all the tables, which are popularly known as “relational database”. This is one of the important and strong features of Microsoft access database.
  • There would be few fields which require conditioning in order to manage the workflows. It includes mandatory fields which has to be completed with valid inputs and must have the ability to knock down the errors. The data must be in accordance to the concept of “look and feel”. The data plan which you create must be very user-friendly so that it can attract the users to use it.

The access database templates help you in lot of ways to begin with the database. Without understanding the examples, learning as to use the access can be little tedious. There are various templates in online that help you in assisting to make the designs in right direction. With the help of templates, you can learn to make relationships, queries, developing tables, creating forms, reports etc. One can also build a custom database and the following are the things to consider:

  • Keep an eye on the goal – Reports: Identify and locate the kind of reports which you require. You need to always keep in mind the goal you need. Prepare the things based on the goal and check on the approach with which you want to proceed. You can make a list of the requirements that can help you to get what you need. Reports can be achieved with the help of interfaces.
  • Forms: Once you plan the goal and other requirements, next essential step is to design the forms through which a user can access the data. The form must have different categories for entering the data, making reports, managing other important things and many more.
  • Tables: The 3rd thing is to populate the data with valid inputs into the tables of newly created database. Make sure that the tables are normalized (removing unnecessary and repeated fields).
  • Simple design: The next thing to do is to design. Make sure that the designs which you create are very simple. You can cut down the entire work into smaller parts and then start doing it.

Database System Concepts

It is a group of interrelated data that is stored in a data base server.  They are usually stored in the form of tablets. The basic aim of the database is to provide a path to store and retrieve the database information in an efficient and fast manner.

It has different features that differ from the traditional file system.  In case of file system approach it requires each user to define and implement the required files to run a specific application.  As the program is run and saved by the different users in different computer it consumes more space and replicates or redundancy of data may lead to confusion where the sharing of data is not possible between two users.

In case of database system concept, we have single repository where it is defined once and accessed by more number of users. Fundamental characteristic contains data along with the definition and description. It is stored in a system catalogue where it contains definition and structure of the database. Data stored in the catalog is called as Meta data. This approach will work on the different types of database such as banking database, airlines, and finance along with the enterprise information database.

Database icons

If you are working in windows seven it will rearrange database icons regularly.  The main reason for the rearrangement of database icon is due to the reason that the desktop forgets the icon position in your screen, as it is stored in the database it actually positioned.   When the windows gets confused with its position then it automatically leads to rearrangement.

First thing need to solve the program is to click on the “Auto Arrange icons” option present in your system.  Most of the computers are enabled with this option. To select this option you need to click on view and then check out whether the “auto arrange” option is selected.

Incase if your system does not have the auto arrange  then look for the alternative icon called as “ align  Icons To Grid” this  will basically link will get attached with other part of computer incase if it gets corrupted or damaged.

After restarting the PC check out whether the problem is solved or if the problem exists then try out the registry cleaner to clear the problems as the registry contain the email, desktop wall paper along with the login details as registry is responsible for maintain the desktop icons. So it is essential to clean up the registry cleaner by scanning the database and then fixing the database.

Types of databases

Internet makes use of the database in one or the other form. The method of dramatically improving pages from the database is very useful to meet out the requirement. So it is important to know about the different types of database. This database usually comes in two forms first one is single or flat file and the second one is Multi-file relational database model or structure database where these database is formed on the basis of four factors.

Data Quantity

Amount of data required to proceed and stores the large determines that sits your database in future.

Complexity of Data:

Another factor used to determine the database type its level of complexity based on the available data.  Data might be an image, plain text or the sound files.

Number of Users:

Number of users accessing the system and then amend data continuously where it acts as a determining factor.

Action to be performed on the data

First determine the available data to be exported or imported from the different IT system.

Record management system and jobs

Document management solution

It is very important for all the organization to have this management system to store, file and monitor all the papers and the electronic documentation. Good system must merge perfectly with the present system and must have the ability to control access security and permission. Basically the system will provide the versioning, retrieval, storage, metadata, security and the indexing capabilities.

Security can be provided by arranging all the files and the documents in specific user group permission and settings. You can even create the multiple versions and store the users track the information of users who have edited or viewed a document. Metadata is also known as data capture and will include the identity of user who stored the document at early stage. This will help the users to search for the documents by using the specific keyword.

records management system

Some system will implement the optical character recognition on the scanned or electronic documents. Indexing will track the document by offering the efficient and simple classification through word index or documents Meta data that is derived from the documents content. It is easy to retrieve the documents from the index topology.  Storage includes the information like period of storage, changes made in the document and about the storage location.

Best document management must save the edit and its version of the document and must display the life cycle starting from the creation till disposal.  In case of document need to be deleted, it must be done in the secure form according to the organizations disposal standards.  In most cases the organization system will have the ability to withhold the emails for a particular period of time. It will be quite effective when a business receives more number of emails in a day.

Record management jobs

This management career field encompasses information and communication. It includes manual and electronic publication, storage, and dissemination of the official records that includes the automated and manipulated record keeping system. Record management jobs include the maintenance of record along with system management.

Record management system (RMS)

Most of the business people prefer the electronic record management system as it is contains    advancement in maintaining the technology, resources or the space.

Apart from the EMRS, it involves the additional associate costs are

  • Staff time required to prepare and enter data on to the system;

N-going upgrade, support or help desk fees

  • The correct number of licenses (to comply with legislation);

It is the practical method of maintaining records ion organization. It includes securing, classifying, storing and the destruction of records. However at some cases these electronic system leads to out of sight and out of mind where it may lead to neglect the document.. Record will be in the form of digital or tangible information. It includes planning, organizing, promoting and finally controlling.

Examples are application data, office documents, birth certification, medical x-rays and emails.  Record management is associated organizations activities.

A Sample Checklist for purchasing a ERMS

Organizational Requirements

  • Are the software / system user-friendly?
  • Will they meet your organization’s needs?
  • What is the workflow functionality, how
  • Specific features of the document and records management of the software

  • Cost required for the operating system
  • Which operating systems can the software run on?
  • Is the system scalable
  • Are there any technical security controls in place; are they adequate for your organization?
  • Can the software be integrated with other computer systems easily?

Relational database model & Tutorial

Sql database tutorial

This tutorial provides all the information regarding its database and performance.  User must have some knowledge about the SQL server to make use of it. SQL server 2000 and 2008 are the application used in wide range.

SQL Server:

Sql database tutorial contains the lessons about the edition, server, adding data, table creation stored procedures, integration services, linked servers and about the creation of database. Initially MS SQL server is known as a management system use to create the work at different platform such as large servers and laptops. It is also known as backend system and it is useful for most of the users. There are different types of tools used for maintaining the database and also for the other tasks which is similar to programming.

Database system is usually based on the server and it is programmed in such a way that can run with the central server and it additional benefit for the users to access the data at the same period by using an application. Here the user can do the multiple tasks like updating the data, assessing the data and the other task.

Sql database tutorial will explain about the different editions for the user. In case of free database management system user prefers the compact or express edition. It also contains the evaluation edition that permits the user to use the server 2008 for 180 days.

Relational database model

One of the unique facilities of this model is the implementation of application across the numerous servers. This is the main reason for the cloud creating technology to be busy in the market. It has attracted the organization where they find hard to balance their business and to integrate them after its diversification. This model offers certain standardized application.

Cloud data base model provides more advantages than the relational database model. Open source application is more practiced source in most of the application where it opens rarely in relational model. Open source is better than the Windows Azure and Google application. But most of the business people prefer cloud model as they have the capability of supporting most of the application that helps during the critical business application.

Dynamics schemes are easy to share through the cloud computing technology as this application helps the employees to continue their work without any delay or troubles during the process. Cloud format is mostly preferred by the people as it provides full support with the algorithm format.  However they also face certain troubles while transferring the cloud from an RDBMS which is a run application.

Data base normalization

database normalization

It is a serious used to obtain the database designs where it allows the consistent storage and the efficient access of the data in relational database. On the other side it is called as the process of organizing data efficiently in a database. Steps involved in the data process are as follows elimination of redundant data (storing similar data in many table), ensuring the data dependencies that make sense. It reduces the data redundancy and as a chances of occurring the data inconsistency.

We have certain number guidelines set to ensure whether the database is normalization. It is refer ed to normal forms and are numbered from 1 to 5. Most of the commonly used application is 1NF, 2NF and the 3NF and occasionally 4NF and the 5th one is seen rarely.

In case of 1NF it sets a basic rule for the organized database – eliminates the duplicative column from the similar table, creates separate table for each and every related data and helps to identify the each row with its column.
